Prefer strong intent signals over fragile engagement proxies
Eligible email and behavioral activity may support enrollment, filtering, or branching, but availability varies. Email opens require special caution because privacy protections, security tools, and automated activity can distort reporting.
Clicks, form submissions, registrations, donations, meeting bookings, confirmed replies, and completed applications often provide stronger evidence of intent.
Let automation update the data that controls Smart Content
- A donor completes a second gift.
- A workflow updates Donor status to Repeat Donor.
- The contact qualifies for the Repeat Donors segment.
- Smart Content displays a recurring-gift CTA.
- Future emails show the appropriate stewardship variation.
The workflow changes qualifying data. Smart Content rules determine what the constituent sees.
Document fundraising definitions before automating them
Workflows and active segments can help maintain labels such as first-time, recurring, lapsed, reactivated, upgraded, LYBUNT, and SYBUNT. These are fundraising conventions, not automatic HubSpot classifications.
Define the calendar or fiscal year, qualifying transactions, refunds, soft credits, household gifts, pledges versus received revenue, recurring gifts, and campaign exclusions. Suggested ask amounts also need careful review so that refunds, event purchases, households, restricted gifts, unusual gifts, stale calculations, or incorrect currency do not produce an inappropriate request.
