Coordinate direct mail with digital outreach
Direct mail can participate in a sequence with email, SMS, advertising, phone calls, event invitations, landing pages, forms, and personal outreach. A constituent might receive an appeal email, visit a landing page without donating, receive a postcard, scan its QR code, complete a gift, and then enter the appropriate thank-you and relationship-manager follow-up.
The workflow must include clear exit criteria so a donation, complaint, returned mailpiece, address change, or communication preference can stop or redirect later steps.
Govern addresses, households, personalization, and suppressions
An integration can only use the information available to it. Before automation, define the preferred mailing address, address type, seasonal or temporary address rules, householding method, deceased and do-not-mail handling, returned-mail process, and which system owns address corrections.
| Control |
Questions to resolve |
| Personalization |
Which preferred name, salutation, household name, company name, language, ask amount, signer, and campaign message are approved? |
| Householding |
Should each person, household, company, or address receive one piece, and who becomes the primary recipient? |
| Suppressions |
Which deceased, do-not-mail, invalid-address, anonymous, institutional, duplicate, recently mailed, or already-responded records must be excluded? |
| Data quality |
How are missing apartment numbers, outdated addresses, formatting, deliverability, and returned mail corrected? |
A generic preference should not be interpreted more broadly than intended. Someone may decline fundraising appeals while still needing a tax acknowledgment, membership notice, program communication, or requested publication.
Track production, delivery, and responses
Depending on the provider, selected events may include request submitted, approved, processing, printed, mailed, in transit, delivered, returned, failed, or canceled. These statuses are operational signals, not proof that a person read or acted on the mailpiece.
Responses can be connected through personalized URLs, QR codes, appeal or source codes, dedicated phone numbers, reply cards, event registrations, membership renewals, online gifts, or properly coded checks. The organization must preserve a dependable identifier between the recipient, mailpiece, campaign, and response.
