Protect the accuracy of simple reports
Use consistent status values
Controlled dropdown properties are easier to report than variations such as “Inactive” and “Not Active.”
Choose the correct date
Record creation, donation, payment, close, deposit, and acknowledgment dates answer different questions.
Define completed outcomes
A donation record is not necessarily money received, a registration is not attendance, and an invoice is not payment. Use meaningful stages or statuses.
Address unknown values
Decide whether blanks should be included, excluded, reported separately, or corrected. A blank last-volunteer date could mean no participation or incomplete maintenance.
Validate underlying records
Review unsummarized data and compare sample records with their CRM pages before distributing the result.
Both may be useful: the saved view helps the team do the work, while the report helps the team understand the work.
