Donor Management Entry 39

Can a nonprofit create quotes, collect signatures, manage approvals, and track contracts in HubSpot?

Yes. HubSpot can connect a revenue proposal with its approval, acceptance, signature, payment terms, and ongoing contract record. This gives nonprofit teams a professional process for sponsorships, memberships, paid programs, and other revenue agreements.

Bring the agreement process into the CRM

A quote can combine proposed items, pricing, terms, agreement language, expiration date, and acceptance method in one professional document. Your team can stop emailing competing spreadsheet versions and work from the proposal connected to the appropriate constituent and revenue records.

When contract creation is enabled, an eligible accepted quote can also create a contract that carries the committed terms forward for ongoing management.

Understand the role of each record

Record Primary purpose Nonprofit example
Quote Presents proposed items, pricing, terms, and acceptance options. Offers silver, gold, and presenting sponsorship packages.
Accepted quote Preserves the version the other party accepted. Records final benefits, price, terms, and signatures.
Contract Tracks the resulting revenue commitment and history. Monitors the sponsorship term, renewal, organization, and committed revenue.
Deal Tracks the opportunity through the pipeline. Follows a gala sponsor from prospecting through agreement and payment.
Invoice Requests or documents the amount due. Bills the sponsor after approval and signature.

Use quotes when a payment link is not enough

  • Gala and event sponsorships
  • Corporate partnerships
  • Cause-marketing agreements
  • Paid memberships
  • Program participation fees
  • Facility rentals
  • Training or consulting services
  • Exhibitor and vendor packages
  • Naming-rights proposals
  • Multiyear commitments
  • Mixed one-time and recurring charges
  • Agreements requiring internal review

Quotes can include line items, discounts, payment terms, explanatory sections, terms and conditions, signatures, acceptance options, and payment. HubSpot can also track when the document was sent, viewed, downloaded, printed, signed, or accepted.

Example: move a gala sponsorship from proposal to contract

  1. Create a Deal for the prospective corporate sponsor.
  2. Discuss the presenting, gold, silver, table, and ticket options.
  3. Prepare the final quote with the selected package, benefits, deadlines, terms, signature requirements, and expiration date.
  4. Route the quote through the required internal approvals.
  5. Send it to the sponsor for acceptance and signature.
  6. Preserve the accepted quote on the Deal.
  7. Create the associated contract automatically when that option is enabled.
  8. Continue into invoicing, payment, fulfillment, and renewal.

If the sponsor must choose among packages directly, confirm that the quote design and line-item configuration support that experience. Often, the development officer discusses options first and then issues a final quote.

Build internal approval into the process

Development may prepare the proposal, while finance reviews the schedule, program staff confirm promised benefits, and legal counsel reviews unusual terms. Quote approvals can use amount, discount, line items, payment terms, billing frequency, region, owner, acceptance method, and whether e-signature is enabled.

Advanced processes can require multiple or sequential approvers. A sponsorship above $25,000, for example, could require the development director and then the chief financial officer before it is sent.

Feature availability

Approvals and signatures are not included at every HubSpot level

Current quote approvals and e-signatures require Revenue Hub Professional or Enterprise and applicable Revenue Hub seats. Older accounts may have legacy quote access under separate product, creation-date, and prior-activity rules.

Approval features, templates, contract records, signature allowances, permissions, and usage limits should be confirmed against the nonprofit's actual account before the process is designed.

Collect electronic signatures and countersignatures

HubSpot's current quote system can collect buyer signatures and internal countersignatures, track signature status, optionally verify signer identity by email, provide a downloadable PDF, send the completed document, and preserve signing activity.

The standard experience is powered by Dropbox Sign without requiring each signer to create a separate Dropbox Sign account.

Monthly allowances vary by subscription and seat count. Enabling e-signature on a published quote can count against the allowance even if no one signs, and recalling and resending may consume another allowance.

Standardize common agreements with quote templates

Templates can preserve approved language, terms, branding, explanations, and line-item presentation for sponsorships, partnerships, memberships, rentals, services, exhibitors, programs, multiyear commitments, renewals, and mid-agreement changes.

  • Assign an owner to each template
  • Limit who can edit legal language
  • Define which clauses staff may change
  • Require approval for exceptions
  • Review templates on a schedule
  • Remove obsolete versions
  • Match each transaction to the right template
  • Confirm product-specific customization limits

Manage the commitment after acceptance

HubSpot's contract object can provide the status, effective and end dates, committed revenue, line items, billing schedule, renewal information, associated Contacts and Companies, related quotes and invoices, activities, and change history.

Statuses include Draft, Scheduled, Active, Completed, and Terminated. Saved views and reports can surface active agreements, renewals, and contracts approaching their end dates.

Mid-contract changes and renewals should use change or renewal quotes rather than casual edits to the original commitment. This preserves what was agreed and when it changed.

Contract requirement

Current contract records require qualifying Revenue Hub access

Contract creation and editing require Revenue Hub Professional or Enterprise and an applicable Revenue Hub seat. Accepted legacy quotes do not create current contract records.

Choose the right architecture for grant agreements

A nonprofit receiving a grant may need to track the funder, application, award, reporting deadlines, Contacts, communication, and signed agreement. A Deal pipeline or purpose-built grants model may fit better than a commercial quote.

A nonprofit making grants is even less likely to fit the buyer-and-revenue structure. Custom objects, workflows, document storage, and an e-signature integration may be more appropriate. Use a quote only when the substance of the transaction genuinely involves defined services, benefits, or payments.

Keep nonfinancial volunteer agreements out of revenue records

Volunteer waivers, codes of conduct, confidentiality agreements, and background-check authorizations are usually nonfinancial. Forcing them through quotes can create confusing contracts and misleading revenue data.

A better process may combine a HubSpot form, volunteer record or custom object, attached document, third-party signature tool, signature-status workflow, renewal dates, and restricted access for sensitive information.

Qualified counsel should approve the language and signing process for waivers, releases, grants, and other legal documents.

Connect the complete revenue-agreement architecture

Record What it represents
Contact The person negotiating or signing.
Company The sponsor, funder, business, school, or partner.
Deal The potential transaction and pipeline stage.
Quote The proposed items, pricing, terms, and acceptance method.
Contract The commitment created from the accepted quote.
Invoice The formal request for payment.
Payment The resulting financial transaction.
Activities Emails, calls, meetings, notes, quote views, and signature events.

This lets staff see who was involved, what was promised, which version was approved and signed, what remains unpaid, and when renewal conversations should begin.

Questions to answer before implementation

  • Which agreements belong in revenue?
  • Which need a separate legal process?
  • Should every agreement have a Deal?
  • Which Contacts and Companies apply?
  • Who may create and send quotes?
  • Who may change prices or terms?
  • What triggers approval?
  • Who may countersign?
  • Which acceptance methods are allowed?
  • Should the quote collect payment?
  • Should an invoice be separate?
  • Should acceptance create a contract?
  • How will amendments and renewals work?
  • How will signed documents be retained?
  • How is confidential access restricted?
  • Which reports and reminders are needed?

Requirements and limitations

Quotes, approvals, e-signatures, template customization, contract records, allowances, and permissions depend on HubSpot products, Revenue Hub level, seats, account history, quote system, and current usage limits.

The strongest implementation separates revenue agreements from nonfinancial documents. Sponsorships may fit the quote-to-contract process beautifully, while volunteer waivers, outgoing grants, and specialized legal documents may require different records, workflows, storage, and signing tools.
