Native Functionality & Tools Entry 60

How can nonprofits use HubSpot quotes and contracts to manage agreements?

HubSpot Quotes provide a structured, professional way to present financial terms, Line Items, conditions, payment options, and acceptance requirements. After approval and acceptance, a Quote can connect to a living Contract record, billing, Invoices, Payments, fulfillment, changes, and renewals while preserving the associated people, Companies, and opportunities.

Create professional agreements inside the CRM

Nonprofits may need corporate sponsorship, membership, event underwriting, program service, partnership, facility rental, training, cause-marketing, grant-funded service, institutional membership, multi-year, or corporate giving agreements.

A Quote can include buyer and Company information, one-time and recurring Line Items, pricing, discounts, billing schedules, cover letters, executive summaries, terms, payment options, e-signature, click-to-accept, branding, images, and supporting content.

HubSpot currently provides the full Quotes experience through Revenue Hub Professional and Enterprise. A Revenue Hub seat is generally required to create and edit Quotes, with additional permissions or subscriptions for some capabilities.

Understand the role of each revenue record

HubSpot record Primary purpose
Deal Tracks the potential gift, sponsorship, membership, grant, or revenue opportunity
Quote Presents proposed terms, Line Items, price, acceptance method, and payment options
Contract Tracks the accepted commitment, term, committed revenue, amendments, and renewals
Invoice Requests payment for an amount due
Payment Records money collected
Subscription Manages recurring billing
Payment Link Provides a shareable checkout experience

A sponsorship may begin as a Deal, become a formal Quote, create a Contract after acceptance, and then use Invoices and Payments for collection.

Create Quotes from connected CRM information

Quotes require an associated Deal and can use the Deal name, owner, amount, Line Items, buyer Contacts, Company, billing Contact and Company, payment terms, billing schedule, currency, and Products or Services.

Eligible users can create Quotes from a Deal, the Revenue Hub Quotes index, Deal or Sales Workspace boards, Deal-based workflows, and Breeze Assistant. Relevant Deal and Quote permissions still apply.

Thoughtful associations mean staff do not need to recreate the sponsor, Company, opportunity, and financial information in a separate document each time.

Use Line Items to describe the agreement

Line Items may represent sponsorship levels, gala tables, tickets, memberships, program participation, workshops, rentals, training packages, employee volunteer programs, recognition packages, recurring contributions, or matching commitments.

A Product Library can standardize common sponsorships, memberships, event packages, fees, rentals, merchandise, and contribution levels. Staff can still create a custom Line Item when an agreement does not fit a standard offering.

  • Name and description
  • Quantity and unit price
  • Discount
  • Billing frequency
  • Billing start date
  • Term
  • Total Contract value
  • Applicable tax treatment

Be careful when using Quotes for donations

A Quote may fit a negotiated corporate-giving agreement, multi-part sponsorship, membership with defined benefits, pledge agreement, scheduled contribution, or partnership with financial and nonfinancial commitments.

A regular charitable gift may be better handled through a donation form, Payment Link, fundraising platform, pledge form, donor-advised fund process, or separate gift agreement. Do not make a charitable contribution look like a commercial purchase when that is not its nature.

Build different templates for different agreements

Quote templates can standardize Cover Letter, Executive Summary, Parties, Line Items, Terms, Payment Options, Acceptance Method, and branding while allowing staff to update agreement-specific content.

A nonprofit might create templates for base and presenting sponsorships, customized corporate partnerships, individual and institutional memberships, corporate giving, rentals, training, program services, renewals, and mid-term changes.

A membership agreement should not look like a corporate sponsorship proposal, and a complex key-sponsor agreement should not be forced into the standard event package.

Example: base sponsorship template

  • Event introduction and mission summary
  • Sponsorship level
  • Included benefits
  • Event date
  • Logo requirements
  • Recognition details
  • Tickets or tables
  • Total amount
  • Payment due date
  • Cancellation terms
  • Acceptance deadline
  • Signature and payment method

This template may serve sponsors choosing from an established package.

Example: key sponsor agreement

A key sponsor may need a customized Cover Letter, exclusive benefits, speaking opportunities, employee engagement, custom event placement, marketing approvals, name and logo use, deliverable deadlines, installments, reporting expectations, dedicated relationship Contacts, renewal terms, legal review, and multiple signers.

A dedicated template protects the clarity of complex, negotiated commitments.

Example: membership agreement

A membership Quote may define the level, term, dates, benefits, covered individuals, renewal terms, payment frequency, code of conduct, cancellation, responsibilities, and acceptance method. Institutional membership may require different language and approvals from an individual membership.

Customize content and appearance carefully

Standard templates can control layout, branding, terms, payment options, and acceptance methods. HubSpot also supports custom-coded Quote modules for conditional terms, customized parties, long-document navigation, required acknowledgments, special formatting, and interactive content.

Custom modules require development knowledge and careful testing. They may help with region-specific language, agreement-specific terms, policy acknowledgments, program branding, additional instructions, or long documents.

Use professional branding without sacrificing clarity

Quotes can reflect the nonprofit's logo, colors, fonts, buttons, cover content, images, Contact details, and footer information. Consistent branding helps signers recognize that the agreement is legitimate and connected to the organization.

Readability and accessibility come first. A polished document still fails if the signer cannot understand the payment terms, benefits, obligations, or cancellation conditions.

Add terms and conditions thoughtfully

Sponsorship terms may address benefits, recognition, logo usage, payment timing, cancellation, fulfillment, exclusivity, deductibility, and approval deadlines. Membership terms may define renewal, transferability, conduct, and payment. Program service agreements may cover scope, deliverables, schedule, fees, responsibilities, reporting, confidentiality, and termination.

Approved legal language should be reviewed by the appropriate legal, financial, compliance, or leadership personnel. A CRM administrator should not create legal terms simply because they can edit the template.

Collect acceptance through e-signature

HubSpot Quotes can collect electronic signatures from donors, sponsors, Company representatives, members, partners, nonprofit representatives, executives, finance officers, or board officers without requiring the external signer to create a separate Dropbox Sign account.

Define who has signing authority, whether both parties or multiple representatives must sign, whether legal review is required, whether e-signature is suitable, how the completed document is retained, and whether law or funder policy requires another method.

Acceptance method

Use click-to-accept only when appropriate

Click-to-accept may fit straightforward membership terms, standard event packages, low-risk registrations, simple sponsorship selections, or standard services.

Choose the acceptance method according to risk, value, complexity, and legal requirements, not simply because one option is easier.

Route Quotes through approval before sending

Eligible Revenue Hub Professional and Enterprise accounts support standard and advanced Quote approvals. Rules can evaluate Quote properties and route work to the appropriate reviewer.

  • High Quote amount
  • Discount included
  • Custom benefits promised
  • Exclusivity offered
  • Extended payment terms
  • Volunteer-created Quote
  • Changed legal language
  • Multi-year commitment
  • Refund provision
  • Government signer
  • Executive signature
  • Sequential legal review

This prevents unauthorized discounts, unavailable benefits, incorrect terms, missing finance review, and agreements sent to the wrong organization.

Preserve the approval history

HubSpot can record approval requests, requested changes, rejections, approvals, and reviewer activity. This is clearer than an untracked chat message or verbal approval, although it does not replace formal legal or board authorization when that is required.

Understand what happens after acceptance

Depending on configuration, acceptance may record the accepted Quote and signatures, create a Contract, start billing, generate Invoices, collect Payment, update the Deal, trigger follow-up automation, and begin fulfillment.

Administrators can configure whether accepted Quotes automatically create Contracts. Test the complete process before sending live agreements.

Treat Contracts as living CRM records

A signed PDF proves what the parties accepted at a point in time. A HubSpot Contract can also show associated Contacts and Companies, committed revenue, Line Items, dates, renewal, billing terms, activities, changes, history, and related revenue records.

This makes the Contract useful throughout the active agreement, not only after signature.

Use Change Quotes for mid-term adjustments

If a member upgrades or a sponsor adds an event, benefit, activity, recognition package, or installment, a Change Quote can present new terms while preserving the original agreement.

After acceptance, HubSpot can update the Contract and retain the change in Contract history. A separate Deal or pipeline may help report expansion separately from the initial commitment.

Prepare Contracts for renewal

Contract renewal dates and alerts can support annual sponsorships, memberships, multi-year reviews, rentals, program Contracts, institutional partnerships, and cause-marketing agreements.

A Renewal Quote can begin with the existing Contract. Staff can review current Line Items, terms, prior changes, relationship and payment history, fulfilled benefits, new pricing, and items to add or remove instead of rebuilding the agreement from an old document.

Create dedicated change and renewal templates

Renewal template Change template
Thank-you and relationship summary Existing Contract reference
Current commitment Description of requested change
Updated benefits and new term Added or removed Line Items
Revised pricing Effective date and change in value
Renewal deadline Updated payment schedule
Payment and acceptance options Acceptance method

A renewal should not automatically reuse the exact document designed for a new relationship.

Connect Invoices and payment options

Depending on the agreement and configuration, the nonprofit may collect Payment through the Quote, generate an Invoice, create a billing schedule, use HubSpot payments or connected Stripe, send a Payment Link, or create recurring billing.

The Quote, Deal, Contract, Invoice, Payment, Subscription, and associated constituents should remain connected wherever possible.

Record distinction

Do not confuse an Invoice with an agreement

An Invoice asks for payment. A Contract or accepted Quote documents what the parties agreed to.

A complete sponsorship process may include accepted terms, a signed Quote, a Contract record, an Invoice, Payment, fulfillment, and renewal. Sending only an Invoice can leave benefits, obligations, and other terms unclear.

Keep the signed artifact

Preserve signed Quotes, executed agreements, attachments, approval history, Contract history, amendments, renewal documents, and payment documentation according to the organization's retention policy.

Define which artifact is legally authoritative, whether copies belong in another repository, who can access them, how long they are retained, and how terminated or superseded documents are handled. The living Contract supports operations; the signed artifact preserves the accepted document.

Use associations to preserve agreement context

Connect Quotes and Contracts to Contacts, Companies, Deals, Line Items, Invoices, Payments, Subscriptions, activities, Projects or Services, and renewal opportunities.

  • Who signed?
  • Who pays?
  • Which opportunity produced it?
  • What was promised?
  • Has the Invoice been paid?
  • Which benefits remain?
  • When does it renew?
  • Who owns the relationship?

Poor associations can attach agreements to the wrong Company, strip Payments of context, or send renewals to the wrong owner.

Account for modern and legacy Quotes

Legacy Quotes and Revenue Hub Quotes differ in subscription requirements, templates, approvals, Contract behavior, CPQ functionality, and access rules.

Before migrating, review existing templates, published Quotes, workflows, signature processes, Contract settings, payment configuration, seats, permissions, and history. Do not assume every legacy behavior works identically in Revenue Hub.

Protect the agreement process

Configure permissions for Quote and Contract creation, approvals, discounts, Products and pricing, signatures, Payments, refunds, template editing, record visibility, change management, and retention.

Volunteers or new staff may prepare information without being allowed to publish or send the final agreement.

Avoid common implementation problems

Agreement management becomes unreliable when every process uses one template, legal language is changed without review, volunteers send unapproved Quotes, donations are treated as purchases, associations are wrong, staff overwrite rather than amend, renewal dates are missing, Invoice creation is confused with acceptance, custom benefits lack fulfillment tracking, legacy differences are ignored, or executed documents are not retained.

Approval rules should consider risk and terms, not only the dollar amount.

Quotes and Contracts depend on thoughtful architecture

A reliable process requires defined agreement types, suitable Deal pipelines, accurate Contact and Company associations, standard Products and Line Items, approved templates, controlled legal language, Quote approvals, signature authority, Contract-creation rules, billing and payment processes, change and renewal workflows, fulfillment tracking, retention, permissions, and consistent reporting.

When those elements work together, agreement management becomes a connected process instead of a collection of disconnected documents, emails, spreadsheets, and payment records.
