Choose the sender and protect relationship ownership
The sender should own the relationship, receive replies, complete tasks, have authority to make the ask, understand the constituent's history, attend resulting meetings, and remain available throughout the sequence.
When a workflow selects the Contact owner as sender, confirm that ownership is populated and accurate, the employee is active, the sequence is shared with them, the required seat and inbox connection are in place, and replies and tasks will be monitored.
A sponsor should not receive a personal-looking email from someone who has never interacted with them and knows nothing about the opportunity.
Pause when circumstances change
Staff may need to pause an enrollment or entire sequence when an event is postponed, sponsorship inventory changes, messaging is revised, a staff member becomes unavailable, a sensitive issue arises, capacity is reached, a public event changes the tone, or an emergency shifts priorities.
Review scheduled emails before holidays, staff leave, major announcements, and changes in campaign strategy.
Measure what is working
HubSpot can provide performance data across entire sequences, individual steps, and templates. Available metrics may include enrollments, opens, clicks, replies, meetings, bounces, unsubscribes, no response, emails sent, tasks created and completed, calls, step performance, template performance, touches required, highly engaged Contacts, and eligible deal or revenue information.
