Add contacts and update properties carefully
The inbox sidebar can add an email recipient to HubSpot and update selected properties. Before creating a record, staff should check whether the person already exists under another address, whether the sender is a real person or automated system, which company or household associations are appropriate, and whether contact creation affects marketing-contact billing.
Creating a CRM contact does not create marketing consent. A person can exist in the CRM for relationship or operational purposes without being eligible for promotional email.
Important structured details such as address, constituent type, membership status, volunteer interest, communication preference, relationship owner, lifecycle stage, and program interest should be stored in approved properties when they need to power segmentation, reporting, personalization, automation, assignment, eligibility, or suppression. Logging the email alone does not update those fields.
Treat email integration as an information-governance decision
Logged email and supported attachments become CRM data. Before deployment, define who may connect individual email, which records each user can access, who may view logged communication, which associations occur by default, whether attachments should be logged, how sensitive topics are handled, how long communication is retained, and how former employees' connections are removed.
When HubSpot data-privacy settings are enabled, logging and open tracking may depend on whether the contact has an assigned legal basis for processing. The nonprofit should align its configuration with its own privacy, legal, safeguarding, health-information, and financial-data requirements.
