What types of CRM data problems should nonprofits review?
Duplicate records
Duplicates divide a constituent's history across records, causing incomplete giving totals, conflicting property values, repeated emails, missed follow-up, and unreliable reporting. HubSpot's duplicate-management support varies by object and subscription; specialized objects may require reports, integrations, or manual review.
Missing information
A record may lack a communication preference, household member, campaign, background-check status, renewal date, attendee, or reporting deadline. A missing value is a problem only when the information is necessary for a real process.
Inconsistent values
Values such as Active, Current, Yes, and Enrolled may all be used to mean the same thing. Dropdown properties, formatting rules, standard processes, and controlled imports can reduce this inconsistency.
Incorrect or missing associations
A donation may not connect to a household, a membership may connect to a person but not the household, or an integration may create records without linking them. These issues may require custom reports, lists, workflows, or manual audits.
Unnecessary or duplicate properties
Fields such as Donor Type, Type of Donor, Constituent Type, and Supporter Type may overlap. A property review helps teams decide what to retain, rename, consolidate, archive, restrict, or replace.
