Create a standalone invoice when no Deal is needed
A one-time invoice can include the number, invoice and due dates, billing Contact and Company, address, currency, line items, quantities, discounts, fees, supported taxes, terms, purchase-order reference, accepted methods, partial-payment setting, and custom invoice properties.
A standalone invoice may fit an operational request initiated by finance. It is not automatically associated with a Deal. If Deal-level tracking matters, create the invoice from the Deal or add the association afterward.
Create invoices from the CRM record that provides context
| Starting record |
Why it may help |
| Contact |
Associates an individual payer, donor, member, participant, or billing Contact. |
| Company |
Supports a sponsor, foundation, organizational member, employer, partner, or program client. |
| Deal |
Preserves the opportunity, owner, pipeline, stage, amount, line items, campaign context, and related activity. |
| Published quote |
Carries proposal details and supported Contact, Company, Deal, and quote relationships into billing. |
| Subscription |
Generates recurring invoices and preserves the continuing billing arrangement. |
Verify the payer, billing Contact, legal donor, member, organization representative, and invoice recipient. Those roles may belong to different people.
Connect quotes, contracts, billing, and fulfillment
A quote can document the proposed package, deliverables, pricing, discounts, schedule, terms, signature, and expiration date before the invoice is issued. Revenue Hub can also support processes connecting Deals, quotes, contracts, invoices, subscriptions, payments, and renewals.
A charitable gift agreement, grant agreement, or sponsorship contract may still require language, approval, and legal review that go beyond HubSpot billing tools. Contract capabilities also depend on qualifying Revenue Hub access.
Create recurring invoices through subscriptions
Recurring invoices can support annual memberships, quarterly sponsorships, multiyear commitments, monthly program fees, recurring partner payments, pledge installments, and payment plans.
The subscription can define frequency, dates, payment count, terms, collection model, invoice delivery, and accepted methods. An invoice asks the payer to take action, while an automatically collected subscription charges an authorized stored method.
Accept online or offline payment
Eligible invoices can direct the payer to secure checkout using HubSpot Payments or connected Stripe. Supported methods may include cards, Google Pay, Apple Pay, ACH, PADs, BACS, and SEPA.
Checks, transfers, wires, cash, and externally processed payments can also be recorded manually. Capture the amount, date, method, check or bank reference, external transaction ID, deposit batch, accounting reference, staff user, and verification status.
Recording an offline payment updates the invoice in HubSpot. It does not move or verify the money, so finance must confirm receipt independently.
