Do not treat Paid status as every kind of acknowledgment
A processor receipt, invoice Payment confirmation, donor thank-you, charitable acknowledgment, event purchase confirmation, membership welcome, sponsor onboarding message, and internal notification serve different purposes.
Before sending anything automatically, confirm that the Payment is complete; whether the person is the donor, payer, billing Contact, or attendee; whether the transaction is fully or partially charitable; whether goods or services were provided; whether tax language is required; whether another platform already sent a message; whether communication permission applies; and how a refund or chargeback changes the process.
A synced status can begin the workflow. Your organization's acknowledgment rules determine what should happen next.
Match CRM Contacts to accounting customers carefully
HubSpot may contain individual Contacts, companies, Households, billing Contacts, donor-advised fund representatives, sponsors, and several people from one organization. The accounting system may use one customer with several Contacts or a Household customer representing two people.
QuickBooks display names must be unique, and HubSpot recommends one billing Contact associated with the QuickBooks customer to reduce sync errors. Your data rules should identify:
- The HubSpot record that becomes the customer
- Individual versus Household treatment
- Organization and billing-Contact structure
- The authoritative email address
- Duplicate-name handling
- DAF and matching-gift companies
- Accounting customer IDs
- Merged and deceased records
Poor matching can attach a valid invoice to the wrong donor or create a duplicate accounting customer.
